Job Description

Job Title: Executive Search Coordinator

Location: Indianapolis, IN 46204 (Hybrid)

Duration: 7 months Contract-to-Hire (for the right candidate)

Pay Rate: $27 $33/hour on W2

Schedule: Monday Friday | 8:00 AM 5:00 PM

  • Minimum 10 onsite days per month (typically 2 3 days/week).
  • Occasional travel to the Columbus office may be required.
  • Overtime available based on business needs.

Job Summary

We are seeking an Executive Search Coordinator to support the Executive Search Recruiting team. This role is responsible for interview coordination, recruitment administration, requisition support, candidate experience, and executive search projects while maintaining a high level of professionalism and confidentiality.

Responsibilities

  • Coordinate interviews, assessments, and recruitment activities.
  • Manage interview scheduling and logistics.
  • Maintain recruitment databases and tracking systems.
  • Coordinate background checks and pre-onboarding activities.
  • Support requisition creation and employment offers.
  • Manage calendars, travel arrangements, agendas, and presentations.
  • Deliver a high-touch ("white glove") candidate and stakeholder experience.
  • Prepare reports, correspondence, and documentation.
  • Support process improvement initiatives and administrative projects.

Required Skills

  • Strong project management and organizational skills.
  • Excellent written and verbal communication.
  • Ability to prioritize and manage multiple tasks.
  • Strong attention to detail and follow-through.
  • Proficiency with recruitment systems and Microsoft Office Suite.
  • Ability to handle confidential information with discretion.
  • Strong customer service and stakeholder management skills.

Qualifications

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • 3+ years of recruitment coordination or similar experience, preferably supporting executive search.
  • Experience with recruitment software and databases.
  • Familiarity with employment laws and regulations.
  • Ability to work onsite during interview days.
