IT Operations Summer Intern Charter

Program Purpose:

The IT Operations Summer Intern will support a high‑priority corporate initiative—Project NOVA (Company‑Wide Technology Refresh)—focused on modernizing and standardizing end‑user computing devices, improving asset visibility, and strengthening operational readiness. This internship is designed to both accelerate delivery of critical refresh activities and provide a structured, real‑world learning experience in enterprise IT operations, asset lifecycle management, and service management fundamentals.

Learning Objectives:

By the end of the internship, the intern will be able to:

• Explain how IT Operations enables business continuity through endpoint support, standardization, and service delivery.
• Describe and apply key concepts in IT asset lifecycle management (procurement, deployment, support, recovery, retirement/disposal).
• Apply basic configuration and asset management practices (e.g., inventory validation, reconciliation, and updating records in systems of record).
• Use data quality techniques to identify gaps, duplicates, and exceptions; recommend remediation steps based on evidence.
• Create clear operational documentation (process notes, trackers, runbooks) that enables repeatable execution by others.
• Demonstrate professional communication and stakeholder management through status reporting, meeting participation, and escalation when needed.

Scope of Work & Key Responsibilities:

Project NOVA – Technology Refresh Support

The intern will contribute across the following workstreams:

• Inventory validation & reconciliation: Validate and reconcile hardware inventory records for end‑user devices and peripherals; identify missing/duplicate records; document discrepancies and recommended fixes.
• Refresh execution tracking: Track deployment, refresh, swap, and retirement status; maintain up‑to‑date trackers and ensure data alignment between project trackers and systems of record.
• Exception management: Identify deployment exceptions (lost/stolen, non‑standard configurations, incomplete returns, incorrect assignments); coordinate with appropriate teams to remediate and close out exceptions.
• Recovery & retirement: Support asset recovery activities (return logistics, follow‑ups, intake validation) and ensure retired assets are correctly reconciled, processed, and documented per policy.
• Standardization & cost avoidance: Assist in identifying opportunities to standardize endpoints/peripherals and quantify cost avoidance/cost savings resulting from recovery and standardization efforts.
• IoT donation pilot (where applicable): Help plan and execute a donation pathway for eligible retired devices (e.g., IoT use cases), including eligibility criteria, tracking, and required approvals.
• Stakeholder communication: Partner with Delivery Management and IT Operations leads to provide concise updates, risks, and blockers; escalate issues with proposed options.
• Documentation & process improvement: Capture current-state workflows and propose improvements to reduce cycle time, improve data quality, and strengthen audit readiness.

Deliverables:

• Validated asset inventory and reconciliation reports (baseline and periodic updates).
• Exception log with disposition notes and recommended remediation actions.
• Refresh status tracker with clear definitions for each lifecycle state (e.g., ordered, staged, deployed, in-recovery, retired).
• Asset recovery and retirement reconciliation summary, including quantified cost avoidance/cost savings (where applicable).
• IoT donation pilot brief (if executed): eligibility criteria, tracking approach, outcomes, and lessons learned.
• End‑of‑internship readout (slides or written report) summarizing accomplishments, key findings, risks/issues encountered, and recommendations for next steps.

Success Measures:

• Data accuracy: High accuracy and completeness of validated asset records (minimal unresolved discrepancies and clear audit trail for changes).
• Throughput & timeliness: Assigned tasks delivered on schedule, with proactive communication of risks and dependencies.
• Exception closure: Documented progress in reducing open exceptions and improving closeout quality (clear disposition, owner, and next step).
• Operational impact: Demonstrated contribution to recovery/retirement reconciliation and, where applicable, quantified cost avoidance/cost savings.
• Documentation quality: Deliverables are clear, reusable, and easy for others to follow (well-organized trackers, definitions, and process notes).
• Professional growth: Demonstrated understanding of IT Operations concepts and increasing independence over the course of the internship.

Professional Expectations:

• Security & confidentiality: Maintain confidentiality and follow all IT security, data‑handling, and acceptable use policies; handle asset and user data responsibly.
• Communication: Provide regular status updates (as agreed with the mentor/lead), raise blockers early, and communicate clearly in meetings and written updates.
• Quality & attention to detail: Produce accurate work, validate data before sharing, and keep trackers and documentation current.
• Ownership: Take accountability for assigned work items from intake through completion, including documenting outcomes and next steps.
• Collaboration: Work effectively with the IT Operations team, cross‑functional partners (e.g. Delivery Management, Service Desk, Retail, Manufacturing / Production / Grow departments, Procurement, Facilities/Logistics, vendor partners, etc. as applicable).
• Professional conduct: Be punctual, dressed appropriately in alignment with the company’s dress code, prepared for meetings, receptive to feedback, and respectful in all interactions.
• Continuous improvement mindset: Look for opportunities to simplify workflows, reduce manual effort, and improve our hardware lifecycle management process (in general).
