Title Coordinator – Carmel, IN Salary: $20/hr. In-office hours Monday to Friday 8 am to 5 pm Job Summary: Join our client’s dynamic team as a Title Coordinator and be at the forefront of revolutionizing the wholesale vehicle industry. In this critical role, you will ensure seamless title processing and client satisfaction, driving the success of their digital marketplace for used vehicles.
Responsibilities: - Excellent customer service, strong telephone support and ability to answer or research the answer to client questions.
- General filing, copying and administrative support.
- Complete title and/or registration applications, recovery affidavits and tracking transactions in all 51 U.S. jurisdictions.
- Input new title requests into title inventory system.
- Call Department of Motor Vehicles for updates daily.
- Prepare and distribute title invoices involving a fee or charge.
- Review all titles and related documents for clients assigned to determine action required to provide good negotiable titles.
- Post title information to remarketing units in inventory.
- Create, sign, and keep documents confirming the movement of title work within company.
- Correct identification of each title is necessary.
- Prepare, audit and maintain records relating to money required by states to process individual titles.
- Communicate changes with Department of Motor Vehicles in state processing of title applications to the Title Supervisor and Manager.
- Maintain a quick reference guide containing information appropriate to day-to-day title needs.
- Maintain up-to-date files keeping current information and required forms to apply for new, duplicate or repossession titles from each state.
- Understand and use the NADA and Registration Text Book and other applicable trade manuals.
- Retain and understand how to utilize all the internal computer system.
- Maintain open lines of communication with all clients assigned. Communicate any concerns to supervisor or management.
- Provide reports to management or clients as required.
- Perform other duties as directed by Management.
Required Skills: - High school diploma or equivalent (Associate’s or Bachelor’s preferred)
- 1-2 years of experience in title processing or related administrative functions
- Fast and accurate typing skills (45-60 WPM)
- Strong organizational skills and impeccable attention to detail
- Proficiency in Windows and Google Applications
- Excellent communication and customer service skills
- Ability to research and resolve client questions efficiently
Preferred Skills: - Additional experience in title processing or automotive industry
- Knowledge of the 50-state titling process and recovery affidavits
- Familiarity with trade manuals such as NADA and Registration Textbook
- Prior experience with title inventory or DMV interactions
Education and Experience: - Associate’s or Bachelor’s degree highly preferred
- 1-2 years in title processing or administrative support within a related field
Other Requirements: - Ability to navigate multiple jurisdictions including all 51 U.S. states
- Strong computer skills and familiarity with internal systems
- Willingness to maintain up-to-date files and quickly adapt to procedural updates
- Orientation towards exceptional client communication and collaboration
